Email and Teams
Plenty of businesses already live in Teams and Outlook. You can have that and still keep your website, your domain and your support with us. The two sit side by side, and we do exactly this for our own company.
Hosting is £45 for your first year, then £75 a year. Microsoft 365 is bought from Microsoft and billed by them, from around £5 a month per person.
First, the honest bit
Email at your own domain is already included in your hosting here, at no extra cost, with as many addresses as you want. If all you need is hello@yourbusiness.co.uk arriving somewhere you can read it, you have that already and you should not pay anyone else for it.
Microsoft 365 is worth it when you want something our included email does not do:
We do not sell Microsoft 365 and we earn nothing from it. You buy it from Microsoft and pay them directly. That is precisely why this page can afford to start by telling you when to skip it.
The real reason most people do it
Teams is where an enormous number of businesses now hold their meetings, and the bigger the company, the more likely it is the only way they will meet you.
A client sends a meeting link and you join it, on your laptop or your phone, with your own name and your own address showing. No asking them to use something else, no downloading a stranger's app ten minutes before a call.
Being reachable the same way as everyone else in the room is quietly reassuring to a buyer. It is the same instinct that makes hello@yourbusiness.co.uk land better than a free webmail address.
Some organisations will not install anything else, and a few will not let their staff join outside calls at all. If you sell to enterprises, councils or the health service, this is less a preference than a requirement.
None of that requires moving your website, and none of it is worth buying if your customers ring you or walk in. It matters when you sell to other businesses.
How it fits together
A domain name does two separate jobs, and they can point at different places. This confuses people, so it is worth saying plainly.
Your site, your files, your databases, your SSL and your backups do not move or change. Visitors reach exactly what they reached before.
A handful of DNS records tell the world to deliver mail for your domain to Microsoft instead of to us. Your address does not change at all.
Your domain's records live in cPanel here, so we can make the change for you and change it back later. Never let Microsoft take over your nameservers.
That last point matters more than it sounds. Microsoft's wizard offers to manage your domain for you, which would move your DNS away from the place your website is controlled from. Choose "Add your own DNS records" instead, every time.
Buying it
Business Basic is where most small businesses start. It gives you Outlook email on your own domain, Teams, the web and mobile Office apps and cloud storage for each person. It runs at roughly £5 a month per person. Business Standard costs more and adds the versions of Office you install on your computer.
One trap worth knowing about, because it is new and it catches people out. In the UK, Microsoft now sells these plans in two versions: with Teams and without Teams. The version without Teams is cheaper, and if Teams is the reason you are buying at all, that is an easy and annoying mistake to make. Check the plan name says Teams before you pay.
Prices and plan names are Microsoft's and they change them. We deliberately do not reprint their price list here, because a stale price helps nobody — check the current figures on Microsoft's pricing page.
Hosting with us is £45 for your first year and £75 a year after that, and that price does not change whether you use Microsoft or not. Microsoft bill you separately, per person, every month or year. One person on Business Basic is roughly £60 a year on top.
The part other guides skip
Both of these have caught people out. Neither is hard once you know, and both are on our side of the line, so we can just do them for you.
Changing the MX record is not enough on its own. Until the domain is switched from Local Mail Exchanger to Remote Mail Exchanger in cPanel, the server still thinks it should handle your mail, and messages sent from your own website to your own domain get delivered locally and never reach Outlook. They do not bounce, which is what makes it hard to spot.
If your website sends anything at all, a contact form, an order confirmation, a password reset, that mail leaves from the server here while your normal mail leaves from Microsoft. Your SPF record has to permit both, or one of them starts landing in spam. Our own domain runs exactly this way.

Not a recommendation we are guessing at
Gravity Host's own email, and GK Tools', both go through Microsoft 365. Our websites are on our own hosting, our DNS is in our own control panel, and our mail is in Outlook. You can check the first part yourself: look up the MX records for gravityhost.co.uk and you will find Microsoft's servers, not ours.
So when the guide says the Remote Mail Exchanger step matters, that is not something read in a manual. It is the step that bit us.
Before you switch
No, and most customers do not. Email at your own domain is already included in your hosting at no extra cost, with as many addresses as you like. People choose Microsoft 365 when they want Teams, the full Outlook experience, or because the rest of their industry already works that way.
Neither. You buy it directly from Microsoft and pay them. We are not a reseller and we earn nothing either way, which is why this page is happy to tell you when you do not need it.
Nothing. It stays exactly where it is, on your hosting with us. Only the email moves. Your domain keeps pointing here for the website and to Microsoft for the mail, which is a normal, everyday arrangement.
Once mail flow moves to Microsoft, the cPanel mailboxes for that domain stop receiving new messages. Anything already in them stays there and is still readable, but new mail arrives in Outlook instead. Move anything you need across before you switch.

The DNS side is ours and we will do it: send us the records Microsoft gives you and we will add them, or add them yourself in cPanel if you would rather. Creating the Microsoft account, paying for it and adding your people is yours to do, because it is your account with them and your billing.

Yes. Mail flow follows your DNS records, and those are ours to change. Point the MX records back to us, switch the domain back to a local mail exchanger in cPanel, and your cPanel mailboxes start receiving again. Nothing about your hosting is locked to either choice.
